Who we are

SapiensML is a company registered in Canada. Our engineering and delivery centre is operated by Plus Your Softech Business Private Limited in India. This policy explains how we handle personal information on www.sapiensml.com, on our business phone line and by email.

What we collect

Contact form: your name, email address, company and message.

Website chat assistant: the messages you type.

Phone calls to our business line: calls are answered by an AI assistant and are recorded and transcribed. We keep the caller's number, the recording, the transcript and a summary, and the text messages exchanged with that number.

Email: the messages you send us and our replies.

Technical data: our servers log IP addresses and requests for security. We don't use advertising or analytics cookies.

Why we use it

To answer your requests, prepare quotes, deliver and support our services, keep records of business communications, and protect our systems. We only send marketing emails to business addresses where the law allows it, and every email includes a way to opt out.

Service providers and locations

Our systems are hosted by service providers that may process information outside Quebec and Canada, including in the European Union (Finland), the United States and India, where our delivery team works. AI service providers process chat messages and call transcripts to produce answers and summaries. We only share what is needed for these purposes and require providers to protect it.

How long we keep it

We keep personal information only as long as needed for the purpose it was collected for and for our legal obligations, then delete or anonymize it.

Your rights

You can ask to access or correct your personal information, withdraw your consent, or ask us to stop contacting you. Write to us through the contact form or call +1 450-286-1029; we reply within 30 days, and opt-out requests are honoured within 10 business days. You can also contact the Commission d'accès à l'information du Québec.

Changes

We update this policy when our practices change and show the date of the latest version at the top.
